Summary

Provides a full range of front desk activities within the Breast Center department. Coordinates all aspects of overseeing the front office, to include registering patients for radiology related exams, collecting and recording patient demographic and financial information, and collecting payments from responsible parties. Models appropriate behavior as exemplified in MLH Mission, Vision and Values.

Education/Experience/Licensure

  Education/Formal Training Work Experience Credential/Licensure
REQUIRED: High school graduate or equivalent. Minimum of one year of experience in patient registration or customer service

Knowledge/Skills/Abilities

  • Knowledge of office and general office procedures and practices.
  • Knowledge and experience in medical terminology. 
  • Skill and proficiency in performing secretarial responsibilities such as typing and letter composition.
  • Skill and proficiency in oral and written communication including spelling, grammar, punctuation, and composition.
  • Proficient in use of basic office equipment; multi-line phones; and data entry.
  • Demonstrated organizational skills with ability to set priorities and meet deadlines.
  • Ability to perform basic arithmetic calculations.  
  • Ability to request/collect payments. 
  • Ability to evaluate problematic situations and be able to adapt, respond to, and/or notify/advise appropriate staff in order to resolve the situation/issue.  
  • Demonstrates discretion in dealing with confidential information and sensitive issues.
  • Proven record of providing excellent customer service both internally and externally.
     

Key Job Responsibilities

  • Greets patient and/or patients’ representative to assess needs and provide information, guidance or completion of registration requirements for visit. 
  • Registers patients for their radiology related exams. Engages patients throughout the registration process to create a welcoming and positive patient experience.
  • Gathers and enters patient demographic data and insurance information within HIPAA guidelines.
  • Performs insurance verification and gathers patient front-end financial obligations due upon patients’ arrival.  
  • Analyzes patient insurance coverage, researches probability of coverage based on known criteria, and provides information for patients in need of financial assistance.
  • Collects necessary patient co-payments, deposits or deductibles for visits utilizing Simplee. Complies with policy for the management of payments received on site.
  • Verifies that the physician order is adequate based on any new information that patients gives on the day of service. Helps facilitate the patient with obtaining a new physician order and/or reschedule the patient visit if needed.
  • Demonstrates professional work behavior and excellent customer service routinely in all interactions. Responds to telephone inquiries as appropriate, direct calls as appropriate to other parties, and/or takes accurate messages.
  • Understands, applies, and supports departmental/hospital policies, procedures, and standards.  Attends meetings, in-services and training sessions as required/requested.

Physical Requirements

  • The physical activities of this position may include climbing, pushing, standing, hearing, walking, reaching, grasping, kneeling, stooping, and repetitive motion.
  • Must have good balance and coordination.
  • The physical requirements of this position are: light work - exerting up to 25 lbs. of force occasionally and/or up to 10 lbs. of force frequently.
  • The Associate is required to have close visual acuity to perform an activity, such as preparing and analyzing data and figures; transcribing; viewing a computer terminal; or extensive reading.
  • The conditions to which the Associate will be subject in this position: The Associate is not substantially exposed to adverse environmental conditions; job functions are typically performed under conditions such as those found in general office or administrative work.
