Summary

Responsible for driving the CEO and Chief Administrative Officer’s strategic initiatives forward, including communicating and managing deliverables across the organization. Directs, monitors and contributes to strategic projects and program management for the executives’ office. This position is also accountable for supporting and managing board governance activities for MLH Board of Directors and its subcommittes. Provides leadership and direction for change management initiatives, budget and financial planning, project management, and program development on behalf of the executives. Additionally, this position has oversight for all ongoing projects supporting the executive’s agenda to ensure that the established milestones and measurement criteria are being met. Models appropriate behavior as exemplified in MLH Mission, Vision and Values.

Bachelor’s degree in relevant field

At least five (5) years’ experience in strategic project management, special projects, or other high level experience supporting C-Suite Executives

Key Job Responsibilities

  • Ensures operational efficiency and effectiveness within the Executive Office. Serves as a trusted adviser to the CEO and Chief Administrative Officer (CAO) and represents and supports executive leadership in delegated projects and initiatives designed to achieve MLH's strategic priorities and objectives.
  • Serves as a board governance facilitator that directs, coordinates, implements, and executes related board governance activities.
  • Responsible for independently managing individual corporate governance entities (boards and committees), anticipating and addressing corporate governance needs; this includes working directly and independently with MLH Senior leadership to facilitate completion of board committees’ responsibilities and meeting objectives.
  • Advises and supports MLH and the Board of Directors on governance functions, standards and policies.
  • Supports all Board of Director events, communications, and deliverables, including planning, strategy, logistics and communications. Works together with the CEO, CAO, and VP/Corporate Communications on CEO communications.
  • Periodically audits the board’s governance guidelines for compliance and consider modifications as necessary.
  • Plans, organizes, develops agendas, and facilitates CEO and CAO driven meetings. Captures major take aways, maintains milestones and tracks, assigns and maintains clear action items and exception reporting. Works with leadership team to ensure follow-up on deliverables and escalates key issues that are stalled. Assists with operational management decisions and actions as directed.
  • Responsible for internal and external communications plans, initiatives and program matters pertaining to the CEO and CAO that builds awareness of the organization's brand among teammates and community with specific targeted emphasis on goals and priorities; manages and collaborates with multiple teams with the overall goal of furthering organizational priorities and messages with our teammates and externally.
  • Manages high-priority projects designed to achieve MLH's mission and strategic vision; builds and maintains successful working relationships and coordinates with a wide range of offices, staff, and stakeholders, internal and external to the system.
  • Gathers, investigates, researches, and analyzes information affecting system-wide operations; participates in planning, policy development and problem resolution.
  • Responsible for daily, weekly and ongoing review of the CEO and CAO’s calendars to ensure the effective management and operating rhythm of ongoing engagements and programs and outside of speaking engagements.

  • Must have good balance and coordination.
  • The physical requirements of this position are: light work - exerting up to 25 lbs. of force occasionally and/or up to 10 lbs. of force frequently.
  • The Associate is required to have close visual acuity to perform an activity, such as preparing and analyzing data and figures; transcribing; viewing a computer terminal; or extensive reading.
